Illustrative engineering walkthrough
Purchase-order review: an engineering walkthrough
A distributor receives a three-line customer purchase order by email. Two lines match known products; the third is missing an item reference. Here is how we would design the path to a reviewed ERP draft.

Scenario and constraints
Use the synthetic PO-4418 example shown on our homepage. It contains 12 filter housings, 12 gasket kits and two pump couplings without a product code. The design assumes an ERP sandbox, an approved product catalog and an operations reviewer. These are scenario assumptions, not a description of a client deployment.
The target is a reviewed order draft. Confirmation, fulfillment and financial posting are separate business actions and stay outside this example.
A state model operators can understand
Received → Extracted → Needs review → Approved → Exporting → Exported
Use separate Held and Failed states when a source is incomplete or the destination cannot be reconciled. Store a stable document identity, source reference and version. An approval belongs to that version, not simply to a filename.
The review decision
Show the original line and extracted quantity next to the proposed ERP product. The two known codes may be ready for approval. The uncoded coupling stays held until a reviewer selects an approved product or requests clarification.
Validate quantities, units, customer and requested date before export. Preserve who approved each correction and the reason. Editing a relevant value after approval moves the record back to review.
The destination write
Create one draft with a stable external reference. If the call times out, move to an uncertain-write state and reconcile before retrying. Retain the destination identifier once available. A resent attachment should point to the existing processing record rather than create another draft.
See the Odoo intake guide for decisions about transaction type, references and API access.
Acceptance cases before release
- The incomplete coupling line cannot pass without an explicit resolution.
- A duplicate attachment does not create a second order draft.
- A changed source invalidates the affected approval.
- A timeout after creation is reconciled before another write.
- An unauthorized user cannot approve or export.
- Every exported record can be traced back to its source and approval.
What a real project would need to prove
Measure review effort, corrections, duplicate handling and reconciliation failures against the current process. Publish improvements only after testing on agreed representative data. This example claims no time savings, accuracy percentage or customer result.
